Rationale             

This policy recognizes the positive role that relationships between libraries may have on an institution, allowing library material to be loaned out to other institutions. By agreeing to Interlibrary Loan with other organizations, it will open the opportunity for FXUA students, faculty, and staff to have access to materials that might not be found in our library on campus.

FXUA Interlibrary Loan Procedures

The procedures listed below apply to all interlibrary loan (ILL) requests at Fairfax University of America.  FXUA may not charge other institutions for interlibrary loan, except in terms of shipping costs, when deemed necessary.

Submitting ILL Request

To submit a request for resources at institutions other than FXUA, all patrons are required to fill out the Interlibrary Loan Request form.  The form is available inside the FXUA Library, as well as available on the library website at http://library.fxua.edu. Interlibrary Loan requests are honored only when a full-text item is not available within the FXUA Library or electronic resources provided.

Loan Periods

The lending library sets the time period that materials will be available.  Many organizations will also set terms for renewal of materials.  If renewal is available on an item, and a patron wishes to renew, the renewal must be requested no later than 3 business days prior to the expiration of the loan period.  Renewal requests must be made to the FXUA Library either in person or by email.

Items Available for Loan

Books, journal articles, and materials listed as lost or borrowed from the FXUA Library may be borrowed.  The request must be approved by the lending library. All requests must comply with applicable copyright laws.  For example, a patron may not ask another library to copy an entire book, but may request a copy of the amount allowable by current copyright law.
Textbooks, newspapers in print form, computer software, non-circulating items from other libraries, and special collections materials may not be requested for loan.  The lending library has the right to refuse any loan request.

Limitations on Interlibrary Loan

There is no limit on the number of requests an individual may make for materials through interlibrary loan.  If any patron would like to borrow more than 5 materials, approval by the Director of Library Services will be required.  Approval can be gained by submitting a written request to the Director of Library Services explaining the need for the materials.  It will take 4-7 business days to process any interlibrary loan request.

Fees & Fines

Patrons borrowing materials must treat all items with care and will be responsible for paying for any damages, overdue fees and fines.
FXUA will pay up to $15.00 in copyright permissions and/or shipping costs to borrow materials from other libraries.  Any amount above $15.00 will need to be paid for by the borrower.

Pick Up & Drop Off of Materials

To pick up or return items that are being used from Interlibrary Loan, please visit the Circulation Desk located within the FXUA Library. The library is located on the second floor of the campus located at 4401 Village Drive Fairfax, VA 22030.

The FXUA Library consults the American Library Association Interlibrary Code (ALA) and the Virtual Library of Virginia (VIVA) for its policy.
